Start with one shared itinerary brief
A quote beginning at hotel pickup differs from one covering an airport arrival, even if both state the same number of days. Give each provider identical dates, pickup points, overnight towns, key activities and passenger details. Ask them to mark assumptions that still need confirmation. The resulting comparison shows which differences reflect actual service and which reflect missing detail.
Separate essential stops from flexible ones. Rest, meals and family needs can change the shape of a long regional travel day. Ask how a proposed change is discussed and approved instead of treating an early draft as an unconditional promise.
Check the vehicle and the service boundary
Request the actual seating and luggage arrangement, particularly if the group has a child restraint, mobility aid or bulky camera equipment. A model label alone does not prove that every passenger and bag will fit appropriately. Ask the provider to explain the usable layout if there is doubt.
Clarify what the driver does: transfers, stop coordination and accompaniment inside an attraction are different services. Ask for a written breakdown covering any driver accommodation, meals, parking and other possible charges. This guide gives no current prices and assumes no particular item is included.
Record changes and payment milestones
Ask when vehicle and driver details are confirmed, who approves route changes, how added or reduced service is priced, and what written cancellation or rescheduling terms apply. Use a concrete example, such as a changed arrival or an added family transfer, if the reply is vague.
Save the final route, service list, price components and contact details where the travelling party can find them. If a material question remains unanswered, resolve it before paying on the strength of a verbal deadline. The signed terms govern the actual booking.
