Locate the delay in the morning routine
A child waiting in the lobby does not always mean the vehicle is late. Adults may still be checking out, looking for a layer or repacking the day bag. Notice the sequence over a couple of mornings: is breakfast, room clearance or the meeting message the real bottleneck? Simply waking everyone earlier may leave the same confusion in place.
Place next day's outer layer, water and small activity item in known spots the night before. Adults should settle payment, documents and the room check before announcing departure. Give a child a small age-appropriate job, such as checking their own hat, without making them responsible for the group's timetable.
Use one channel for the meeting message
Nominate one adult to confirm where the vehicle is and when boarding is possible, then relay a single clear message to the family. Multiple parallel conversations can produce conflicting times. Include the meeting place, boarding condition and who carries the day bag.
Check the actual pickup place on site; this article makes no claim that any hotel entrance permits vehicle stopping. If waiting inside, confirm a suitable hotel area and keep children and luggage supervised. A vehicle's arrival need not trigger hurried sorting of bags beside traffic.
Choose an activity with an easy ending
When a wait is unavoidable, use a small observation card, a quiet colour-spotting game or a thin book. Choose something that can be packed away as soon as boarding is confirmed rather than starting a long video or spreading out toys. Tell the child what will mark the end of the activity.
If waits repeatedly disrupt the day, clarify departure communication with the provider and review whether the family routine is realistic. Do not urge a child to run toward the roadway when the vehicle appears. An adult should establish the stopping place and walking route first.
