Separate emergency response from a routine handover

A replacement may follow a service adjustment or a vehicle problem. This checklist applies only once the group is somewhere safe and permitted to stop. At an accident, breakdown or other dangerous scene, follow professional safety directions and obtain help first; counting luggage must not delay getting out of danger.

Use the original booking provider to confirm the replacement driver, vehicle, meeting point and contact arrangements. A registration number received from an unfamiliar caller is insufficient confirmation. If waiting affects the itinerary, ask the provider to coordinate later services rather than pressuring the driver to recover time.

Assign passenger care and baggage transfer separately

In a group with children or older relatives needing support, keep one adult with them in a safe waiting area while another coordinates belongings with the drivers. Children should not wait between vehicles. Drivers should organise parking and loading in a suitable location.

Check belongings in two stages: removed from the old vehicle and loaded into the replacement. Keep personal documents and valuables with their owners or a designated relative. When safe, check seat pockets, door storage and charging locations as well as the boot; counting large cases alone misses scattered small items.

Recheck equipment after the transfer

Moving a child seat does not complete its installation. Someone familiar with its operation should reinstall and check it against the product and vehicle requirements. Reassess how mobility equipment is secured and accessed. A different interior layout may require a different seating arrangement.

Before moving, confirm that everyone can sit properly, restraints work and access routes remain clear. Resolve missing essentials through the provider even if only a short drive remains. Appearance does not replace professional mechanical checks or verification of the agreed service.

Brief the incoming driver on the current plan

Provide the confirmed hotel, next destination, necessary stops and provider contact. Mention cancelled visits or changed pickup points so the new driver does not follow an earlier itinerary. Share only information needed for the service and ask for a brief read-back of the destination and unresolved matters.

Record the handover time and place, transferred items and outstanding issues. Confirm who now handles the service. If something remains in the old vehicle, agree who holds it and how it will be returned before both vehicles leave.
