Use a complete location name

Hotels, airports and scenic areas can have several entrances or similar names. Include the city, full name, entrance or building, lawful stopping information and a contact number. A map pin alone is not a sufficient instruction.

For a scenic-area transfer, confirm the lawful vehicle point with the provider or site manager. Do not assume a visitor drop-off, ride-hailing point and coach parking area are interchangeable. No current parking rule is asserted here.

Make both sides repeat the same version

After the booking contact sends the details, ask the driver to repeat the place and time, then check the passenger and baggage count. ‘Received’ does not reveal an east-gate versus south-gate mistake.

When the group changes, one contact updates the list so the driver is not waiting for an old headcount. Keep identity details out of broad group chats.

Plan for delays and a missing entrance

Agree that passengers will wait in a safe, visible place without blocking a roadway. If the entrance is unclear, stay in contact instead of splitting the group across several parking points.

Do not ask a driver to wait in a restricted area because a flight or baggage is late. Let the provider coordinate a lawful waiting point or revised pickup, based on the confirmed conditions that day.

Keep one final message

Save the confirmed message with an update time and stop using older screenshots as instructions. Reconfirm the next stop after boarding rather than searching through multiple chats.

For a change, state the old point, new point, reason and confirming person. Let the driver handle it while safely parked, never by operating a phone while moving.
