Keep only what is useful today

The card does not need the whole itinerary. Prioritise the date, current stay, next stop or its type, one family contact and one service contact, plus an agreed meeting method if needed. More information is harder to read when a traveller is tired.

Do not put identity numbers, banking details or unnecessary health information on it. If sensitive information must travel, use a family-approved safer method and make sure the traveller knows whom to contact if the card is lost.

Make the type and wording easy to read

Use large dark type, breathing room and simple headings such as ‘Where we stay tonight’ and ‘Who to call next’. Avoid dense abbreviations, long addresses and colour-coded clues that require guessing.

Ask the older traveller to read it before departure, then check that they can find the contact and next step without a phone. Use the language they understand most easily, whether that is Uyghur, Mandarin or English.

Treat it as a backup, not an instruction

Vehicle times, rooms, pickups and access arrangements can change, and the paper plan cannot override same-day provider confirmation. One contact should update or cross out old information so the traveller never holds two conflicting cards.

If separated, lost or unwell, the traveller can use the card to reach the agreed person. In an emergency, use local emergency help or ask staff nearby rather than waiting only for a callback.

Hand it over briefly each evening

Spend two or three minutes giving the next day's card to the traveller: when departure is, who accompanies them and who handles baggage. Put it in a predictable place such as a fixed pocket of the day bag, not among loose receipts.

If the traveller chooses not to carry it, a companion should retain a copy. The purpose is not another burden; it is a clear starting point when a phone battery, network or conversation fails.
