Confirm where the main vehicle can actually go

On a shuttle-bus day, the main car may not reach the ticket gate or the exit visitors imagine. One contact should confirm the usable drop-off, return pickup and contact method with the driver and provider, then keep the wording short and recognisable.

Parking, shuttle and walking arrangements can change under site management. Do not promise a distance, wait or access route from old experience; site signs, staff and the driver's safety judgement come before an itinerary.

Reduce meeting information to one version

Keep one meeting plan for the group: who contacts the driver, when to report in, and where to wait if the signal fails. Competing pins and screenshots can give older travellers, children and the driver conflicting instructions.

Choose a legal, visible point that does not obstruct people. Do not stand by a traffic lane, restricted area or crowded exit to be closer to the vehicle, and do not ask a driver to enter a no-stopping area.

Give a delay a workable next step

A time boundary is not meant to rush passengers; it lets the driver safely plan the vehicle and the next segment. If someone remains on a shuttle, has no battery or the group splits, the designated contact should share the known location and needed help.

When the original meeting cannot work, reset it through a method allowed by that day's provider or ask site staff. Never expect a driver to read repeated messages while driving or send companions across a car park to search for a vehicle.

Make a short review once back in the car

Before leaving, confirm people, essential day items and the next arrangement. If a shuttle day proved more complicated than expected, reduce optional stops or leave more buffer tomorrow instead of cutting rest.

Record the meeting description that worked, such as a landmark, contact person and walking time, but verify it again next time because access rules and flows can change.
